Why the format matters
Nothing delays a contractor's payment like an invoice a bookkeeper can reject. For VAT vendors, SARS prescribes exactly what a valid tax invoice must show — the words "Tax Invoice", your name/address/VAT number, the client's details (for invoices over the threshold), a serial number and date, a description, quantities, and the VAT amount or statement. Miss an element and the client's accountant can legitimately bounce it — and your 30 days starts over.
The BuildCape template covers all of it, laid out the way construction billing actually works: line items for labour and materials, site/project reference, and payment terms. Not VAT-registered? Use it without the VAT fields — just don't call it a "Tax Invoice" or show VAT you can't charge (issuing VAT invoices while unregistered is a serious offence).
Getting paid faster
- Reference the quote or contract number — it's the first thing a client checks.
- Number invoices sequentially and keep the register (the library's Quotation Register and Statement of Account pair with this).
- For contract work, invoice against certified progress claims — see the Progress Claim and Payment Certificate forms.
- State banking details and payment terms on every invoice, every time.

What must a valid South African tax invoice contain?
For VAT vendors: the words 'Tax Invoice' (or 'VAT Invoice'/'Invoice'), your business name, address and VAT number, serialised number and date, description and quantity of goods/services, the consideration, and the VAT charged or a statement that VAT is included. Full-detail invoices over the SARS threshold must also show the recipient's details.
I'm not VAT registered — can I still invoice?
Absolutely — you invoice without VAT fields and without the words implying VAT. You cannot charge or show VAT until SARS registers you as a vendor. Registration becomes compulsory once taxable turnover passes the SARS threshold in 12 months.
Quote, invoice, or progress claim — which do I send?
Quote before the work (see the Quotation form), invoice when payment is due, and on longer contracts use progress claims certified against work done. The library includes all three plus the registers to track them.
