Who handles your information

What we collect and why

The enquiry form collects your name, email address, phone number, business details, location, service or profile choices, requirements, preferences and referral information. We use these details to respond, prepare quotations, manage agreed services and keep enquiry and payment records. Do not enter ID numbers, bank passwords, card details, medical records or employee payroll records in the enquiry or chat.

We record your BC reference, submission time, the versions of these terms and this notice, your acknowledgement and any optional marketing choice. Our hosting may log technical connection details; the enquiry system uses a hashed connection identifier to limit repeated submissions. Required contact details help us respond; without them the form cannot be submitted. Optional details may be left blank.

Our reasons for processing

We process information as needed to take steps at your request towards a contract, perform agreed work, comply with legal obligations and pursue legitimate administrative and security interests where lawful. Where we rely on consent, it must be specific and voluntary and you may withdraw it. Acknowledging this notice is not blanket permission to use your information for unrelated purposes.

Communications and optional marketing

Enquiry acknowledgements, quotations, payment acknowledgements and service updates relate to your request. They are separate from marketing. The form offers an optional, unticked choice for BuildCape service offers and updates by email. You can leave it unticked and still enquire or use our services. To withdraw marketing consent, email info@buildcape.co.za or bianca@buildcape.co.za at any time. We will apply any other requirements for lawful direct marketing before using the list.

Service providers and public profiles

Authorised BuildCape staff and service providers may process information for hosting, email, communications and payment services. The current website is hosted through GoDaddy. Yoco handles payments on its own page under its own terms and privacy notice; BuildCape does not collect your card details in this form. If you choose WhatsApp, the information you choose to send is handled through that service. Other payment options will be disclosed when enabled.

Submitting a profile enquiry does not automatically publish your personal contact details. Profile content and publication permissions must be agreed before publication. We do not sell enquiry details or make them available to other suppliers merely because you enquired.

Storage, retention and international processing

Enquiries and payment audit records are stored separately from public web files, with access controls for administration. We keep records only for as long as needed for their purpose, legal obligations or the establishment, exercise or defence of legal claims, and then delete, anonymise or restrict them as appropriate. A request to delete information does not override a lawful duty to retain a record. Providers may process data outside South Africa; we must assess and apply the safeguards required by POPIA before such transfers. No system can guarantee absolute security.

Your rights and complaints

You may request access to or correction of your information, request deletion where applicable, object to processing where the law permits and withdraw consent where processing relies on it. Email info@buildcape.co.za or bianca@buildcape.co.za with your BC reference; we may verify your identity proportionately before acting. You may complain to South Africa’s Information Regulator. These rights are subject to applicable legal requirements.

Information handled for your business

Payroll, employee and other records needed for an agreed service require a separate secure handover and appropriate written data-processing and confidentiality terms. This public enquiry form does not authorise unrestricted processing of such records.

Changes

We retain the notice version linked to each new submission. Material changes will be explained when relevant; a new notice does not retrospectively change your recorded marketing choice.
